What type of information we have
Data collected from you and held by The Green Register is for delivery of our services and may include:
• Company / employee name, postal address, phone number, email address, website.
• A record of all transactions, contact, membership renewals and event bookings made by these companies and/or employees with The Green Register
We do not store any further information or payment details.
All data collected and stored has been opted in by past transactions, membership renewal, event bookings or using the opt-in data capture form on our website.
When booking an event, renewing membership, or using an online or paper form to submit your data, you are opting-in and agreeing to:
• This data being stored by The Green Register.
• Be added to our email circulation list.
• When booking an event, your name and company (only) will be shared with the trainer and other delegates, so you are able to see who else is on your booked event.
You may opt out of our email circulation list at any time, using the highlighted function on the emails.
How we store your information
Your information is securely stored on our CRM system on a secure web server in what we believe to be a well protected environment . If you have made a financial transaction with us your contact details will be stored on our accounting software Xero but please note we do not store any payment details. Bank transactions are via The Co-Operative Bank and card payments are processed via PayPal. Your information may be stored on email software held by our Email Service Provider (EPS) if you have communicated by email.
We’ll retain your personal data for as long as we have a relationship with you and for a period of time afterwards where we have an ongoing business need to retain it, in accordance with our data retention policies and practices. Following that period, we’ll make sure it’s deleted or anonymised.
The Green Register will never pass on any data or contact details to any third party.
You may request all your data held by The Green Register be deleted, at any time, by contacting us using the following email address: mail@greenregister.org.uk.
Automatic collection of information
We use cookies on our website to support your use of certain features. However, no personally identifiable data is associated with these cookies and we do not automatically log personal data.

The data we collect may be personal data and may include your name, email address, address and telephone number.
How personal data is collected
We collect the personal data that you may volunteer while using our services. This is done when you subscribe to our newsletter, complete a form on our website, book events or courses, become a member and/or request information whether via email, our website, direct messaging on social media channels or by calling us on 0117 377 3490.
Third parties data disclosure
We do not disclose personal data to other organisations. We will not share, sell or distribute your personal data with unrelated third parties except where they are acting for or on behalf of The Green Register under contract to provide a service to you.
Security
When you send us your data via web forms our website is secured using the HTTPS (HyperText Transport Protocol Secure) protocol to encrypt the data being sent back and forth with SSL encryption. We have implemented security policies, rules and technical measures to protect the personal data that we have under our control from:
- Unauthorised access
- Improper use or disclosure
- Unauthorised modification
All our employees and data processors, who have access to, and are associated with the processing of personal data, are obliged to respect the confidentiality of our visitor’s personal data. Your information is maintained on a secure web server in what we believe to be a well protected environment.
The Green Register shares personal information to billing companies for completing transactions.
Rights for access to personal data
You can ask us if we are keeping any personal data about you and you can also request to receive a copy of that personal data. For such requests, please contact mail@greenregister.org.uk. At any time you may delete or correct the personal information we hold for you.
